How to Set Up Your Signature in Outlook
Outlook on the Web
outlook.live.com or outlook.office.com
- Click the gear icon in the top-right corner.
- Select View all Outlook settings at the bottom of the panel.
- Go to Mail → Compose and reply.
- Under Email signature, click into the text box and press Ctrl+V (Windows) or ⌘+V (Mac) to paste.
- Check "Automatically include my signature on new messages" and/or replies as desired.
- Click Save.
Outlook Desktop — Windows
Microsoft 365 / Outlook 2016–2024
- Open Outlook and click File → Options.
- Select Mail from the left sidebar, then click Signatures…
- Click New, give your signature a name (e.g. Valiant), and click OK.
- Click inside the large editing area below and press Ctrl+V to paste.
- Under Choose default signature, set it for New messages and/or Replies/forwards.
- Click OK to save.
💡 Tip: If the signature looks plain after pasting, try pasting into WordPad first, copying again, then pasting into Outlook.
Outlook Desktop — Mac
Microsoft 365 for Mac / Outlook 2019–2024
- Open Outlook and go to Outlook → Preferences in the menu bar.
- Click Signatures.
- Click the + button to create a new signature and give it a name.
- Click inside the signature editing area and press ⌘+V to paste.
- Set your default signature for New messages and Replies/forwards using the dropdowns.
- Close the Signatures window — changes save automatically.
💡 Tip: Make sure "Always match my default theme" is unchecked so your signature colors display correctly.
Outlook Mobile
iOS & Android
- Open the Outlook app and tap your profile picture in the top-left.
- Tap the gear icon (Settings) at the bottom-left.
- Scroll down and tap your email account name.
- Tap Signature.
- Clear the existing text, then long-press and tap Paste to paste your copied signature.
- Tap the checkmark or Done to save.
💡 Note: Outlook Mobile has limited rich-text support — images and formatting may not display on mobile. For best results, use the web or desktop app version.
