How to Set Up Your Signature in Outlook
Outlook on the Web
outlook.live.com  or  outlook.office.com
  1. Click the gear icon in the top-right corner.
  2. Select View all Outlook settings at the bottom of the panel.
  3. Go to Mail → Compose and reply.
  4. Under Email signature, click into the text box and press Ctrl+V (Windows) or ⌘+V (Mac) to paste.
  5. Check "Automatically include my signature on new messages" and/or replies as desired.
  6. Click Save.
Outlook Desktop — Windows
Microsoft 365 / Outlook 2016–2024
  1. Open Outlook and click File → Options.
  2. Select Mail from the left sidebar, then click Signatures…
  3. Click New, give your signature a name (e.g. Valiant), and click OK.
  4. Click inside the large editing area below and press Ctrl+V to paste.
  5. Under Choose default signature, set it for New messages and/or Replies/forwards.
  6. Click OK to save.
💡 Tip: If the signature looks plain after pasting, try pasting into WordPad first, copying again, then pasting into Outlook.
Outlook Desktop — Mac
Microsoft 365 for Mac / Outlook 2019–2024
  1. Open Outlook and go to Outlook → Preferences in the menu bar.
  2. Click Signatures.
  3. Click the + button to create a new signature and give it a name.
  4. Click inside the signature editing area and press ⌘+V to paste.
  5. Set your default signature for New messages and Replies/forwards using the dropdowns.
  6. Close the Signatures window — changes save automatically.
💡 Tip: Make sure "Always match my default theme" is unchecked so your signature colors display correctly.
Outlook Mobile
iOS & Android
  1. Open the Outlook app and tap your profile picture in the top-left.
  2. Tap the gear icon (Settings) at the bottom-left.
  3. Scroll down and tap your email account name.
  4. Tap Signature.
  5. Clear the existing text, then long-press and tap Paste to paste your copied signature.
  6. Tap the checkmark or Done to save.
💡 Note: Outlook Mobile has limited rich-text support — images and formatting may not display on mobile. For best results, use the web or desktop app version.
